RECEIVED FEBRUARY 10, 1976 ?OR FURNISHING LABOR AND MATERIALS TO REFINISH OFFICE FURNITURE FOR THE DEPARTMENT OF POLICE, AT A TOTAL COST OF $25,176.00; AUTHORIZING AND DIRECTING THE CITY MANAGER TO INSTRUCT THE PURCHASING DIVISION TO ISSUE A PURCHASE ORDER THEREFOR. WHEREAS, bids were received February 10, 1976 for furn- ishing labor and materials to refinish office furniture for the Department of Police; and WHEREAS, funds are available in the Police and Crime Prevention Facility Bond Fund; and WHEREAS, the City Manager recommends that the bid of Steelcare, Inc. for furnishing said labor and materials, at a total cost of $25,176.00 be accepted as the bid most ad- vantageous to the City; "DOCUMENT INDEX NOW, THEREFORE, BE IT RESOLVED BY THE 3f}N--GP THE CITY OF MIAMI, FLORIDA: Section 1. The bid of Steelcare, Inc., received February 10, 1976, for furnishing labor and materials to refinish office furniture for the Department of Police, at a total cost of $25,176.00 is hereby accepted, and the City Manager is hereby authorized and directed to issue a purchase order therefor. February 2 7 g 1976 ett sunj cr Bid Evaluation Furniture Refinishing REFERENC@SBid 75-76-52 ENCLOSURES Estimate January 10, 1975 Cost Comp: Appendix 1 It is recommended that the award for furniture refinishing (bid #75-76-52, requisition #48947) be made to Steelcare Inc. for the following reasons: 1. Steelcare was the only firm to submit a bid, even though twenty-one (21) potential contrac- tors were sent invitations to bid. 2. The bid was close to the estimate Steelcare presented the Police Department 13 months ago for planning purposes. The costs do not appear to be inflated. 4. The recommendations of past customers and local movers are favorable. f 3. The cost (on an item per item basis) to re- finish existing furniture is about one half "SUPPORTIVE the cost of new furniture on recent bids. A cost comparison is enclosed as appendix I. DOCUMENTS In response to specific items in your memo of February 10, 1976 the following is presented. 1. Why: 2. How funded: This contract is proposed to provide a sufficient quantity of furniture in the new M.M.P.D. building without purchdsing all new equipment. This should save t:he City a considerable amount of capital funds while providing a pleasant atmosphere. This is a one time cost. M.M.P.D. bond funds approved in resolution 75-381 adopted April. 22, 1975. Iligli prior:i.ty, as soon as possible to be in accord with our overall move schedule. 4. How used: To color co-ordinate old furn with new fur niture and present new uniform appearance, 6. Yearly contract: Yes; one year, as per specifications, This will take care of unforseen needs of additional refinishing by Miami Police Departments or this service may be used by other departments. It is additionally recommended that the award should not include the optional "all risks" and fire insurance quoted in item five for the following reasons: 1. The premium is to costly. The insurance option would almost double the cost of the refinishing contract. 2. The actual risks involved are negligible if adequate precautions are taken. The costs for refurnishing furniture for the Police Department will not exceed $25,000.00 which is the amount programmed for this iLem in the Apri]. 22, 1975 report to the City Commission, and which amount was included in the allocation resolution No.75-381.
