"SUPPORTIVE DOCUMENTSEAS, Montgomery Elevator Company has an agreement FOLLOW" OLLOV" WHER to maintain the City's elevators for the period January 10, 1975 to January 9, 1976, at a total cost of $4,860.00; and WHEREAS, the agreement includes an option to extend the maintenance service for two (2) succeeding twelve month — "DOCUMENT 141DEX periods; and _ ITEM NO. , t / % " WHEREAS, the City desires to extend the elevator maintenance agreement with Montgomery Elevator Company for twelve (12) months to which said company has agreed; NOW, THEREFORE, BE IT RESOLVED BY THE COMMISSION OF THE CITY OF MIAMI, FLORIDA: Section 1. The City Manager is hereby authorized to instruct the Purchasing Agent to extend the elevator main- tenance agreement with Montgomery Elevator Company for a period of twelve (12) months beginning January 9, 1976, at a total cost of $4,860.00. Box 330708 Miami, Florida 33133 Re: Elevator Maintenance Bid City of Miami Bid No. 75-76-39 Bid Opening 12/29/75 Dear Mr. Andrews: City Manager L„t "SUPPORTIVE DOCUMENTS FOLLOW„ It is our understanding th.at the above elevator maln.ten- ance bid, which was rejected by the City Purchasing Agent, is presently coming up for approval by the City Council on February 26th. 0n January 7th, we first wrote your office a letter concern- ing this matter and followed up several times by personal meetings with Mr. Mullins and Mr. Jack Bads. As yet, we have received nothing in writing other than the fact that the first original bid was rejected. We are formally requesting that you give us time before the City Council meeting on February 26th, so that we can ex- press our views as to this award. It is our opinion that the above bid was not handled in the proper manner and, since the Miami Elevator Company is a City based company and a city tax payer, that we deserve the right to express our opinion on how the monies should be spent. ENCLOSURES: PILL: On Deceraex 29. 1975, sealed bids were received for elevator maintenance, City Wide, including the Dallas Park Apartments, on an annual basis. The Dallas Park Apartments were not in- cluded in the previous year's contract. Invitations were mailed to eight (8) potent -;al suppliers. Miami Elevator Corrrpany submitted the only complete bid, at a cost considerably rrore than the present contract, and Otis Elevator Company submitted a hid for the Dallas Park Apart- ments o.-aly, at a monthly cost of $334.00 compared with present cost of $514.00. Otis Elevator Canoany has serviced the Dallas Park elevators since 1926, and they will only service Otis elevators. The City has an option to renew the present contract with Montgomery Elevator Company on all elevators except the Dallas Park Apartments. After due consideration, both bids were rejected. The Property Manager has requested that Otis Elevator. Com- pany be allowed to continue to maintain the Dallas Park Apartment elevators and that a Purchase Order be issued on a quarterly basis due to the anticipated termination of that operation. It is recotr ended that the present contract with Montgomery Elevator Cc. any he extended for an additional twelve (12) months for a total ano rut of $4, 660. 00. This will be at no increase in cost to the City as compared to Miami Elevator Company's bid which would cost the City an addition of $1,332.00 per year. It is requested that a resolution be prepared authorizing the City Manager to instruct the Purchasing Agent to extend the elevator maintenamoe contract with Mentgomery Elevator Comuny for the twelve (12) month period beginning January 9, 1976.
