A RESOLUTION ACCEPTING THE Bib OF ICM INDUSTRIES, INC., RECEIVED FEBRUARY 601976) FOR FURNISHING DATA ENTRY PREPARATION OF THE MIAMI POLICE DEPART- MENT NAME INDEX, AT A TOTAL COST OF $89,956.00, FOR THE POLICE DEPARTMENT, FUNDS TO BE PROVIDED BY POLICE CRIME PREVENTION BOND FUND, AND AUTHORIZING THE CITY MANAGER TO INSTRUCT THE PURCHASING DIVISION TO ISSUE A PURCHASE ORDER THEREFOR; AND FURTHER THAT THE CITY MANAGER BE AUTHORIZED AND DIRECTED TO ENTER INTO AN AGREEMENT WITH ICM FOR FURNISHING SAID DATA ENTRY PREPARATION.WITH A SUBSTITUTION OF 10% RETAINAGE INSTEAD OF THE ROUTINE PERFORMANCE BOND. WHEREAS, bids were received February 6, 1976 for furnish- ing Data Entry Preparation of the Miami Police Department Name Index for the Police Department, and WHEREAS, the City Manager recommends that the bid of ICM Industries, Inc., for furnishing said Data Entry Prepara- tion of the Miami Police Department Name Index, at a total cost of $89,956.00, funds to be provided by Police Crime Prevention Bond Fund, be accepted as the bid most advantage- "DYOCU.MENT I DF.X ITEM NO. NOW, THEREFORE, BE IT RESOLVED BY THE COMMISr6ION OF THE ous to the City, CITY OF MIAMI, FLORIDA: Section 1. The bid of ICM Industries, Inc., received February 6, 1976, for furnishing Data Entry Preparation of the Miami Police Department, at a total cost of $89,956.00, funds to be provided by Police Crime Prevention Bond Fund, for the Police Department, is hereby accepted and the City Manager is authorized and directed to instruct the Purchasing Division to issue a purchase order therefor. Section 2. The City Manager is hereby authorized and directed to enter into an agreement with ICM for furnishing said Data Entry Preparation of the Miami police Department Name Index, Section 3. The requirement that a performance bond be filed herein be and the same is hereby waived and, in lieu thereof, the City of Miami shall be authorized to retain 10% of the contractprice as security to insure proper performance of the herein contract. Invitations were mailed to twenty-three potential suppliers and two (2) bids were received as follows: Bidder 101 Industries, Inc. Miami, Florida Price Per 1,000 Records $172.00 The Data Center Coral Gables, Florida 269.60 Estimated Estimated Total Quan. Total Price 523,000 $ 89,956.00 523,000 141,000.00 Funds are available in the Police and Crime Prevention Facilities Bond Fund. The file consists cf approximately 523,000 records on microfilm which must be convected to magnetic tape for entry into the computer system. This data will become an efficient on line index to the Miami. Police Department case files and is an integral part of the information sys- ters which are being designed for the MMPD Program. The name index records are being purged and the final total may be as low as 470,000, which would reduce the actual cost to $80,840.00. It is requested that the award be made and a resolution be prepared accepting the lowest bid as received frcn IC.; Industries Inc., 4141 No. Miami Ave., Miami, Florida for furnishing Data Entry Preparation at a maximum cost of $89, 956. 00, and that the City Manager be author- ized to enter into a contract with IQ4 Industries.
