HomeMy WebLinkAboutM-78-03478 May 3, 1978 Mr, John Williams, Coordinator 2nd Annual Bahamas Goombay Festival 3634 Grand Avenue Miami, Florida 33133 Dear Mr, Williams: I am writing to you, as promised, to outline our response to your request for assistance from the,City of Miami in conjunction with the 2nd Annual Bahamas Goombay Festival, June 10 and 11, 1978. As mentioned in our meeting yesterday and in previous correspondence, the City of Miami supports and encourages special events and festi- vals which draw attention to the cultural heritage of various seg- ments of our community. Citizen -sponsored events like the Goombay Festival, Open House 8, the Coconut Grove Art Festival, and the Little River Annual Flower Day Festival are assets to our community, and it is our policy to cooperate as fully as possible to help ensure their success. In our meeting yesterday, you showed us the Goombay Festival's budget and enumerated a list of requests for services to be provided by the City. As you know, the City provided assistance to the Festi- val last year and is quite willing to do so again; however, it is necessary to separate from your request items which the City has not, by policy, provided free of any charge. The following is a list of services we can provide without charge: 1. Closure (with barricades made available) of Grand Avenue $ 80 on the loth of June and half of MacFarlane on the llth. 2. The use of the large showmobile on three separate days $465 with rental fees waived. 3. Approximately 100 trash receptacles and 15 dumpsters-- $1,600 includes only delivery and final pickup and cleanup. 4. Cherrypicker and crew (8 hours on 6/9; 4 hours 6/12) $ 300 to help put up banners, flags, etc. 5. Miami Center/Lowe Art Museum Assistance $ 506 Page 1 of 2 $2,961 78-:147 Bahamas Gootnbay Festival May 3, 1978 Below is a list of services you have requested the City to provide but which are, by policy, traditionally not provided at no charge: 1. Set-up, take -down, and supervision of showrobile and associated equipment on three separate days and three different locations. 2. Liability insurance in conjunction with use of Grand Avenue and Peacock Parks 3. Empty approximately 15 dumpsters of trash on two separate evenings (one packer, crew of 3) $ 755 $ 70 308 $1,133 In addition to providing the above, which are NOT included in your Festival budget, you have indicated that you will request other organizations to fund your anticipated deficit in your $14,000 budget. You specifically indicated that you wish the City of .Miami to contribute $4,000 in cash to help reduce your deficit. This $4,000 in cash would be in addition to whatever other assistance the City may provide. I cannot help but comment on the awkward position that you have placed the City in. As you know, we willingly assisted your efforts last year and will willingly assist you this year to the extent of those items we outlined on the first page. To plan a program that is going to have a large deficit without the permission of those agencies from which you wish to solicit cooperation is rather pre- sumptuous. I hope that this type of circumstance will be eliminated in future years. I might also add that your requests will have to be presented to the City Commission, and we have scheduled this for discussion at the meeting of May 19 during the "Personal Appearance" items which are generally scheduled at approximately 2:30 in the afternoon. Closure of Grand Avenue on the loth of June, 1978, and MacFarlane up to 27th Avenue on the llth of June, 1978. 2. The use of the large Showmobile on three separate days with rental fees and set—up cost waived. 3. Approximately 100 trash receptacles and 16 dumpsters. (Eight dumpsters to be placed on Grand Avenue by the 9th of June, 1978, and eight more to be placed on ;IacF arlane by the 10th of June.) 4. Cherry picker and crew (2 hours on :..ay 29, 1978; 8 hours on June 9, 1978; 4 hours on June 12, 1978) to help put up and take doom banners, flags, etc. 5. Miami Center/Lowe Art I•iuseum assistance. 6. Liability Insurance waived for use of Grand Avenue. 7. Sixteen dumpsters used on Grand Avenue and MacFarlane be emptied after the .festival. In addition to the above services, we are requesting financial support from the City for the following items: 1. $987.75 — construction of 75 booths for the Bahamian vendors 2. $720.00 — rental of 16 portable toilets for two days 3. $896.00 — rental of two twenty—four foot vans for storage and transporting; of Bahamian vendor's goods 4. $1950.00 — twelve professional and non—professional musical groups Total — 34,153.00 Parse 2 nr.
