Per the emergency procurement procedures as defined in Section 18-90 of the City Code, authorization to waive the competitive bid process, albeit it is a retroactive authorization, is also requested for the aforementioned emergency purchase if greater than $25,000. This purchase is necessary for the following reason: The supply of electricity to the Fuel Pumps and the surrounding Racks (lights) ceased to flow apparently due to a wiring shorting issue underground. This causing hazard and security concerns on the property by not having proper lighting in the area. Also, there is a negative economic impact to the City by not having electrical power to fuel pumps that are used for re -selling fuel for profit and the added costs of relying on a rented generator for power. TOMKA, LLC - CGC 1526398 8200 NW 41 Street Ste 200 Miami, FL 33166 MARINE STADIUM MARINA - ELECTRICAL CIRCUITS REPLACEMENT Details - Mobilization - Prepare work area. Clear the designated space to ensure a safe and organized environment for the upcoming tasks Demolition & Removal: - Disconnect and safely remove the three existing damaged cables from the electrical panel and conduit. - Verify the usability of the existing conduit (if accessible) through pull tests or inspection, where possible. Trenching & Conduit Installation: - Excavate approximately 400 linear feet of trenching, 3 feet deep, through existing asphalt from the current electrical panel to the target location on the opposite NW side of the marina. - Install new 2" or appropriate size schedule 40 PVC electrical conduit along the trench, including necessary bends, fittings, and spacers. - Provide concrete encasement where required by code or conditions. - Backfill trench and perform asphalt patching to restore surface to original condition. Cable Installation - Pull and install (3) new appropriately rated electrical cables (exact size/type to be confirmed based on load requirement). - Label and terminate cables at both ends. Testing and Commissioning: - Energize and test the circuit to ensure functionality. - Equipment - Provide protection of work site, inclusive of surrounding surfaces against damage - Clean up - Dispose of all debris off site on a daily basis - Leave site in ready for use conditions Total Cost: $ 39,754.00 Credit Back: In the event that the existing underground conduit is found to be in acceptable condition and suitable for reuse: A credit back of $13,120.00 will be applied to the final invoice for the portion of work not performed (trenching for new conduit installation) Warranty: 1-Year Materials and Labor Warranty Included NOTES - Labor, material & delivery included - Permit fee is not included in this proposal - Engineering and calculations are not included in this proposal - Survey, tests or inspections are not included in this proposal - This proposal is valid for 30 days Sincerely, TOMKA LLC 1/1
