Idea to host a quarterly 'micro mixer' that MAEC could host, rotating events in each district • G DuBois —The monthly meetings could also rotate out in the community and help build exposure to the public. Invite the Commissioner district offices, especially the districts that do not have an appointed MAEC member to get representation • M Napoles — Let the groups see and hear through the meeting • Motion — G DuBois: In the fall, to explore the idea of hosting quarterly mini mixers and rotating meetings in the different commission districts • Second — M Napoles a. Networking Mixer i. Motion to Host Networking Mixer at • Motion — German DuBois: To Select Epic Hotel as the primary venue for the upcoming venue with NIDO as the secondary venue, not to exceed $24,000 total for the mixer • Second — Maria Napoles • M Napoles — Start eliminating the locations then go back to the final selections ( see the attached Potential Venues for MAEC Mixer) Combined conversation • S Perez - Mentioned that Uber Vouchers may be provided 1 • Regatta Grove — Too Expensive • Dale Zine — Too enclosed, great for smaller venues since the air conditioner could start failing. The heat could cause a lot of issues. Parking garages at $3/ hour. The courtyard is not covered, but they can accommodate. • Perez Art Museum — Aesthetically, it is the premier site, but is it responsible to use the entire budget without food, drinks, parking or other perks? • Mayfair — The space is the same for the Little River Flea/ Farmer's Market. Considered a place if you know, you know. Would other communities look at the Mayfair without any issues? It fulfills the aesthetics, but not a venue that represents the Council • NIDO — Although they have been very accommodating, it does not jump out as the type of venue because of size, even with the Art Gallery Space, and Alley. Then for the nature of the program, that is the desired platform to share the goal of the mixer in presenting who the council is. The broken -up venue loses the audience. Logistically, can it accommodate the number of people? Parking is a challenge. The closest is the Shoppes at Midtown. The Alley could be blocked as an overflow. The Women Shelter will be vacated. During Art Basel, tents were rented from Parks Dept. There needs to be some decorative aspects to make it an events space such as seating, lighting. How can er dress this up? The decorations may be another third party • Epic Hotel — Having a hard reason not to consider the Epic because people do not RSVP and not show up, or RSVP and do not show up. There is experience, appetizers do not need to run the entire event. 1st hour is people tricking in; Serve the food in the 2nd hour; 3rd hour is the program. This kind of event an hour is for presentation. The Epic is negotiable for their services. • Future of Cities — General idea of the space location. There is not enough time to find the food and the additional information. It's better to have the venue handle the food. The outside vendor would need to be researched, or use an approved vendor • Little Haiti Cultural Center — Would need to coordinate with the curator. Too many unknowns. Consider as a future event • Bakehouse — Contemplate the event for next year Of the top 3 Selected, the Top 2 are: Epic Hotel NIDO • Event Brite — The Algorithm will send invitations to people outside of their invitation list. Go to the select members and offices of the elected officials to get their individual event • M Weeks — Want to have the event streamed live • S Perez — Will speak to Communications Dept • C Dozier — Will speak to the Host Committee in how to stream the event • A Campos — There is a slash of budgets by getting rid of a lot of money allocated to the Boards. Because there has been a lot of money going to the board, it looks better to say that there is purpose for the funds as opposed to having money sit around and not doing anything with it. • M Weeks — The Chief of Staff for the City Manager is currently researching it. As citizens we have a right to research what was said. • G DuBois — There also should be a matter of how to be strategic. Celebrate the victories with the City. The Mixer has been in planning for a long time • C Dozier — Why are there no other additional funds? • M Varas — We don't have enough time during this fiscal year to find more funds • C Dozier —The goal is to match what the City has to offer; it would look great. We need to create a situation where we start researching grants. There should be a responsibility for the council to research grants • G DuBois — As if there is a way to ask for more than the $20,000 by the Commission? At what point would the board ask for more money? • S Perez — The midyear budget hearing in February / March of 2025 • M Weeks — There is an item on the Chair's report • A Campos — The Board can ask for more money according to the Code. There is nothing preventing the Board from submitting a supplemental Master Plan once the original is accepted by the commission. • Place the grants as $20,000 , but the City does not allow spending of money that is not in hand. Place the money that is available on hand in the budget, not money it hopes to receive • Challenging the leadership of the City to present the resounding message as an Art and Entertainment entity for the city. b. List of strategic issues and spaces impacting the arts and entertainment in the City of Miami. (a complied listing) • MW — We need to add to what we have. Everyone should present their ideas. I hope this Board should support me to ask for more money in my verbal delivery to the Commission o G DuBois — Have a dialogue with what is happening in their district.
