HomeMy WebLinkAboutBack-Up DocumentGitg Df 4lliami June 22, 2020 Susan Harris Council, MPA, FCCM Lead Project Manager, Bureau of Mitigation Florida Division of Emergency Management 2555 Shumard Oak Blvd, Room 315E Tallahassee, FL 32399-2100 Arthur Noriega City Manager RE: Request Period of Performance Extension Project Number PDMC PJ-04-FL-2016-006 City of Miami, Wind Retrofits, Pre -Disaster Mitigation Grant Program Dear Ms. Harris: The City of Miami is requesting a period of performance extension and cost increase for an additional one year (1) from the date of August 30, 2020, for the executed Pre -Disaster Mitigation Grant Program (PDM) Agreement number 18DM AX 11 23 02 365 with the Division of Emergency Management due to unforeseen structural conditions. This grant project was divided in two phases for reasons of design and funding. Phase I consists of the building roof replacement and Phase 11 consists of the building windows and doors replacement. After the submittal process of fixed plans, specifications and review by the Building Department, the permit for Phase 1 was obtained, and the replacement of the building roof commenced on May 18, 2020. We anticipate the completion of the Phase 1 in August 2020. During the design process for Phase 11, it was discovered that the existing structural supports for the second -floor windows varied from the existing building records documents. As such, alterations to the structural steel support system and adjacent stucco soffit will need to be made. These elements will require additional design by the architectural and structural engineer plus labor and material to bring the existing opening into compliance with the Florida Building Code. Please find attached the project estimated costs for your records. Per your request, please find the target costs and budgeting price provided by the project Architect/Engineer consultants, City Project Manager & Construction Manager. The cost of construction may increase or decrease from the probable construction cost estimate since the plans and specifications were not ready before this date, it will also be subject to the proposals that will be submitted by contractors during the BID process. The time extension is imperative since the scope includes architectural and engineer services, submitting plans and specifications to the Building Department for permit review, initiating the conventional bid process and a minimum of 180 days of construction. As such, approximately a 365 calendar day extension is needed in addition to the original schedule.
