Alfonso, City Manager FROM : Annie Perez, CPPO, Director Procurement DATE : March 15, 2016 FILE : SUBJECT: Recommendation for Approval to Award Bids for Automotive Oils, Lubricants, and Greases REFERENCES : (Cooperative Bid) ENCLOSURES: Invitation for Bid (IFB) No. 546382 RECOMMENDATION: Based on the findings below, the Procurement Department (Procurement) hereby recommends approval of the award, pursuant to Invitation for Bid (IFB) No. 546382, for automotive oils, lubricants, and greases to multiple responsive and responsible bidders; the impact of this item is citywide in nature. Additional vendors may be added to the contract as deemed in the best interest of the City of Miami. Contract Number/Title: IFB No. 546382, Invitation for Bid for Automotive Oils, Lubricants, and Greases (Cooperative Bid) Contract Amount: Approximately $115,000.00 annually, depending the City's needs. Estimated to be $575,000.00 over the five (5) year term of the contract Contract Term: Initial term for a period of three (3) years, with the option to renew for two (2) additional one (1) year periods Recommended Vendors: Multiple vendors were awarded by line item based on qualifications outlined in the IFB. The responsive and responsible bidders recommended for award are: Flamingo Oil Corporation dba Flamingo Oil Company, Genuine Parts Company, and U.S. Essential Supply and Services LLC BACKGROUND: On January 19, 2016, Procurement issued IFB No. 546382, under full and open competition to obtain bids from qualified vendors. As required by the Procurement Code, the IFB was advertised and issued online. On February 4, 2016, four (4) bids were received; three (3) were tabulated following the guidelines published in the IFB. One (1) bid was deemed non -responsive due to failure to provide requested doumentation.
