Subject: Resolution accepting a donation from Microsoft, Inc. related to Microsoft Office 365
Purpose of Item:
Resolution accepting a donation from Microsoft, Inc. in the amount of $100,000.00 related to the
Microsoft Office 365 Volume Licensing Agreement, to provide for consulting and product technical
services and assistance for the deployment and enhanced productivity of the Microsoft Volume
Licensed Products; further authorizing the City Manager to execute the necessary documents to
implement the acceptance of said donation.
Background Information:
The City is engaging in the acquisition of Microsoft Office 365, a "Cloud" based solution which will
provide Microsoft Exchange Online (Outlook/Email); SharePoint Online, Lync Online, and Office
365 Pro. Microsoft is offering a donation (incentive) of $100,000.00 to provide consulting and
product technical services and assistance for the deployment and enhanced productivity of the
Microsoft volume licensed products. This funding will be used to migrate active directory accounts
(email), existing documents, backup and recovery processes from our current "on premise" systems to
the Office 365 Cloud solution. The Office 365 solution provides up to 15 licenses of Office 365 to
each user for installation on laptops, tablets, smartphones or other devices, including personally
owned devices. This Cloud solution will optimize our capability to work from any location, will
incorporate disaster recovery, and will include continuity of operations necessary to strive in our
multifaceted work environment.
