ADDENDUM NO. 1
IFB No. 248231 October 13, 2010
Invitation For Bid (IFB) for Fire Hoses and Attachments
TO: ALL PROSPECTIVE BIDDERS:
The following changes, additions, clarifications, and deletions amend the Bid Documents of the above captioned IFB,
and shall become an integral part of the Contract Documents. Words and/or figures stricken through shall be
deleted. Underscored words and/or figures shall be added. The remaining provisions are now in effect and remain
unchanged. Please note the contents herein and reflect same on the documents you have on hand.
The following section has been incorporated into the Special Conditions section of the Invitation for Bid (IFB)
solicitation document:
DISCOUNTS (FROM PUBLISHED PRICE LISTS)
Bids shall be submitted on the basis of a discount from a manufacturer's published price list(s). Such
published price list(s) must be common to, and accepted by, the industry in general. The lists must be printed,
properly identified, dated as to issuance and effectiveness, and provided at the time of bid submittal.
Revised published price list(s) may be used as a means of price adjustments. However, all bids are to be firm
for a period of one year after the bid opening date and revised price list(s) will not be accented by the City until
after that date. Revised published price list(s) will be accepted only in the event of an industry -wide price
change, as evidenced by the issuance of revised price lists by the manufacturer.
Revised prices will not become effective until revised list(s) are submitted to the City under the vendor cover
letter identifying the applicable bid number. Vendor cover letter and pricing list(s) must be dated, signed and
submitted to the Purchasing Director.
Q1. Is there any provision in the contract to get a price increase after the initial term or after any renewal
term? Can the vendor cancel with proper notice at the end of the initial term or any renewal term?
Al. As stated in Special Condition Section 2.7, Fixed and Firm Pricing, Prospective Bidder(s) are reminded that
"All prices quoted shall be fixed and firm throughout the term of the contract, including all renewal options."
However, via this addendum, Special Condition "Discounts (From Published Price Lists)", has been
incorporated into the IFB solicitation. Said condition allows Successful Bidder(s) to submit to the City price
adjustments only as a result of "industry -wide price change, as evidenced by the issuance of revised price
lists by the manufacturer".
There is no provision for the Successful Bidder(s) to cancel the bid contract at the end of the initial term or any
renewal term. As stated in Section 2.3, Term of Contract, "Continuation of the contract beyond the initial period
is a City prerogative; not a right of the bidder. This prerogative will be exercised only when such continuation is
clearly in the best interest of the City."

Q2. On Page 30, Section 2.3, of the IFB, it states that this contract will be good for one year with the option
to renew for four additional one year periods. Essentially, Prospective Bidder is interpreting this as
having to maintain the same price for 5 years. Is this correct?
A2. Pursuant to Special Condition Section 2.7, Fixed and Firm Pricing, "All prices quoted shall be fixed and firm
throughout the term of the contract, including all renewal options." However, via this addendum, Special
Condition "Discounts (From Published Price Lists)", has been incorporated into the IFB solicitation. Said

Q3. Would the City consider a price escalation clause due to a global spike in raw materials (ie; oil)? Firm
pricing beyond one (1) year is/could be difficult for all manufacturers.
A3. As stated in Special Condition Section 2.7, Fixed and Firm Pricing, Prospective Bidder(s) are reminded that

Q4. What ancillary items is the City referring to in Section 2.12, Balance of Line? Section 2.12 is too
general/vague for any bid responder to provide a specific discount.
A4. Ancillary items are those items within the same commodity of the items listed in the IFB and listed in the
Successful Bidder(s) annual retail supply catalog.
ALL OTHER TERMS AND CONDITIONS OF THE IFB REMAIN THE SAME.
