The enclosed proposal iathe direct result ofour Document Workflow Audit that we completed for City of Miami
GSA/Graphics Division. After athorough review and analysis of your company's operations, systems and objectives,
and cdyour request, wmsubmit this proposal for your consideration.
In our audit review meeting, we agreed that City of Miami GSA/Graphics Division document processing:
° Systems did not adequately support your document output needs.
° Product accessories lack reliability through the term ofservice.
° Current provider did not off evthe pre/post sales local support and maintenance service you require 10maintain your
copier fleet resulting inloss ofproductivity and increased downtime.
The enclosed proposal directly addresses these issues, provides a detailed description of the proposed workgroup
turnkey Konica Minolta system and describes how we would implement it at City of Miami GSA/Graphics Division. It
also discusses the resulting financial and productivity benefits. Many are based onthe findings ofour audit.

PURCHASE AND LEASE PROVISIONS
Customers will be authorized to purchase or lease equipment by issuance of a purchase order referencing the con-
tractnumber. The manufacturer's lease or service agreement form will not be used since the contract resulting from
this RFP and the purchase order will constitute the complete agreement. All State Agencies are required to receive
pne'apprnvo|from the Department of Financial Services PRIOR TO entering into o |oeoo in excess of the annual Cate-
gory Two threshold (currently $25.000). No lease ahe|| exceed Gyeore. All State agencies are urged to review the
Chief Financial Officer's latest memorandum addressing leases and deferred -payment purchases of equipment when
considering the leasing orpurchasing ofequipment.
Lease Period
3-Y*arLease: Aconsecutive lease purchaseo|on which shall expire at
the end of the thirty-six (36) month period. No termination notice shall be required by either party at end of lease.
The Benefits ofProactive Services
Customer Confidence Guarantee — Konica Minolta Business Solutions agrees to maintain the Equipment in good
operating condition providing necessary maintenance service and parts for routinerepairs. If our Service
Representative is unable to repair the equipment covered under this guarantee, we shall provide, at no charge, an
equivalent replacement. Should a workgroup unit be out of service, due to maintenance needs, for more than 16
consecutive business hours, Konica Minolta shall provide mloaner unit (f similar capabilities upon your request. Any
unit that Konica Minolta determines cannot boproperly repaired 1omenudoctunerapeoificationsviUbee|igib|efora
replacement unit of substantially similar or greater capabilities, at no additional charge; provided, however, that the
replacement unit may beother than new.
