Thompson, CM City Clerk DATE: December 2, 2011 FILE : SUBJECT : Supervisor of Elections request to Use City Hall For 2012 Elections and Early Voting REFERENCES: ENCLOSURES: (5) Attached hereto is a request received from Ms. Penelope Townsley, Supervisor of Elections, Miami - Dade County Elections Department, to utilize the Staff Room (Cow Room) at Miami City Hall as an Early Voting and Election Day voting site for the following 2012 county -wide elections: Election Election Date Early Voting Dates Presidential Preference Primary Election January 31, 2012 January 21 — January 28, 2012 Primary Election August 14, 2012 August 4 — August 11, 2012 General Election November 6, 2012 October 27 — November 3, 2012 Also attached are copies of the Polling Place Authorization forms, a list of Miami -Dade County Early Voting locations and the Early Voting Final Delivery and Set-up Schedule for the January 31, 2012 Presidential Preference Primary Election and its Early Voting period. Voting will be open to the voting public each day from 7AM until 7PM. Miami -Dade County Elections Department staff will require access to the site for approximately fourteen (14) hours each day. Each Early Voting period will occur for eight (8) days (Saturday to Saturday) prior to each Tuesday election. The Miami -Dade County Elections Department is currently requiring four (4) days prior to the commencement of Early Voting for setup and one (1) day after Election Day for voting equipment removal. The total time that the Miami -Dade Elections Department will have sole possession of the key to the Staff Room is sixteen (16) days for each combined Early Voting and Election Day election period. Additionally, the City of Miami's General Services Administration will require one (1) day prior to and one (1) day after the County has setup and removed the election equipment to prepare the location.
