ADDENDUM NO. 1

Invitation For Bid (IFB) for City of Miami Rental of Vehicles- Citywide
TO: ALL PROSPECTIVE BIDDERS:
The following changes, additions, clarifications, and deletions amend the Bid Documents of the above captioned IFB,
and shall become an integral part of the Contract Documents. Please note the contents herein and reflect same on
the documents you have on hand.
Q1. Estimated average mileage driven by vehicle class per year?
Al. Rentals- Annual Mileages were not tracked; however, estimated miles driven by police personnel per month is two to three
thousand miles.
Q2. Historic number of accidents and amount of vehicle damage incurred per year?
A2_ Information has been requested from our Insurance broker. Upon receipt, another Addendum will be issued.
Q3. Estimated number of daily, weekly and monthly rentals by vehicle group?
A3. A large amount of rentals may be exchanged on a daily basis because of the nature of police work and undercover police
work. The vendor should have available for rental, at a minimum, 50 vehicles daily, 200 vehicles weekly, and 300 to 400
vehicles monthly.
04. Bidder to provide Liability of $1 Million per accident. Please confirm.
A4. Bidder must maintain a minimum $1 Million Liability Limit, naming the City of Miami and its employees as an additional
insured.
Q5. Will the City consider bids with Tess than $1 Million in Liability?
A5. No.
Q6. What is the minimum of employees that will be driving each vehicle?
A6. One employee per vehicle is assigned the rental vehicle as the user.
Q7. Collision is stated with Deductible Maximum of $1,000 yet Maximum City Deductible is $100.00. Which is it?
A7. Under Section 2.13, INSURANCE REQUIREMENTS FOR A CERTIFICATE OF INSURANCE- RENTAL VEHICLES
CITYWIDE, Part IV., Physical Damage, please delete the reference to "Deductible- Maximum of ($1,000) deductible". The
City requires its Deductible responsibility at a maximum of $100.00.
Q8. Will the City consider bids where the City is responsible for vehicle damage?
A8. No. Bidders must follow the General and Special Terms and Conditions and Specifications as per the bid.
Q9. Are rentals to be processed and billed directly to the City or to the City employee?
A9. Billings will be sent to the Finance Budget Unit for each City Department.
Q10. How does the City wish to be billed?
A10. Upon return of each vehicle.
Q11. Many of the Vehicles are listed "with Commercial Insurance for Years 1 & 2". Do you mean commercial
plates or are you referring to the $1 Million Liability provision?
A11. We are referring only to the rental of the vehicles including your commercial insurance coverage as required by the bid.
Q12. Are pricing increases allowed after the first year?
Al2. Please refer to Section 2.5, FIXED AND FIRM PRICING WITH PRICE ADJUSTMENT (3RD AND 4TH YEAR).
ALL OTHER TERMS AND CONDITIONS OF THE IFB REMAIN THE SAME.
