Subject: Acquisition of a Matter Management Software Program from West Publishing Corp.. dba,
ProLaw Software
Purpose of Item:
The Office of the City Attorney has developed an automation strategy to streamline its practice and
speed up delivery of services. Acquisition of the ProLaw software will provide automated litigation
support, calendaring, time keeping and the capacity to conduct information retrieval and produce
customized reports.
Background Information:
The Department of Information Technology and Office of the City Attorney staff have evaluated
several software programs and identified ProLaw Software as the best software program to achieve
both immediate goals and longer -term functionality. ProLaw features automatic integrations with
Microsoft Word, Outlook, and Westlaw. Implementation of this software program will allow
attorneys and staff to keep track of what, when and in what order of priority tasks (calendaring,
scheduling and docket control) are to be completed. Time entries entered by individual attorneys can
be sorted and measured using variables such as client (department) and type of case or assignment.
This timekeeping feature facilitates a full range of executive report capability to assist in both
strategic management and planning. The system is web -based and has the capacity to provide client
access to reports and information contained in the database. The Office of the City Attorney would
like to acquire this software by piggybacking on the existing contract that the California State
University, Office of the Chancellor Office of General Counsel, has with West Publishing Corp., dba,
ProLaw Software, RFP No. 40549.
