Good afternoon,
As you will recall, I recently sent (6/19/06) an email to all Type II Haz Mat/WMD Teams, US&R Task Forces and
Type II Technical Rescue teams notifying them of the status of the '05-'06 SHSGP Grant. At that time, only a
small percentage of these teams/task forces had submitted requests for reimbursements, though several more
indicated that they have encumbered funds and were working on submitting reimbursement requests (attached is
the most recent list).
Also at that time, I requested an indication of how many teams/task forces believe that they would use their
allotment of funding prior to the deadline (which, as you will recall, was advanced to February 28, 2007). To date I
have only received replies from five departments. If you have not yet indicated your department's anticipated use
of these SHSGP funds, please do so by the close of business Thursday, August 31, 2006. This will assist us
in determining potential excess funds remaining for redistribution.
Additionally, we have received some requests for reimbursements from teams/task forces in excess of the
amounts per the Memorandums of Understanding between the State and the team/task force. These requests are
being "held" pending the end of the grant period (or some time prior to the end of the grant period) where a
determination can be made how much excess funds (if any) are available for redistribution. Please do not
purchase additional equipment or schedule additional training exceeding the amounts stated in the

Memorandums of Understanding, unless your organization has sufficient funds to pay for the excess
equipment/training in the event no excess funds remain at the end (or near the end) of the grant period.
Your organization will be solely responsible for these costs if not additional grant funding is available.
If you wish to submit a request for reimbursement that exceeds your allotted amount as stated in the
Memorandums of Understanding, or if your agency is listed herein, (City of Sanford, City of Clermont, Clay
County, Miami -Dade Fire Rescue TF-1, Volusia County TF-9, Volusia County Haz Mat, Highlands County,
Okaloosa County Special Ops — all having already submitted requests in excess of the allotted amounts), please
submit in writing an explanation (email is fine) of why these excess funds are needed. An example for a request of
additional training funds would be a large amount of turnover in trained personnel for a Type II Technical Rescue
Team, Hazardous Materials Team or US&R Task Force. The explanation will be kept on file with the excess
reimbursement requests until it is determined if there are unused funds that may (or may not) be available.
