Scope of Services
Marketing and Event Management
• Complete management of project website, including but not limited to: design,
layout, events calendar, maintaining complete and detailed electronic record of all
public inquiries (questions and answers, comments) that are submitted via the
website, update of news information, creation and follow of survey questions, and
daily maintenance
• Assist in the coordination of marketing materials production including but not
limited layout, content, production, and distribution of marketing materials
including advertisements, flyers, posters, banners and other collateral
• Coordinate fulfillment services for mailings
• Assistance with event planning and logistics for all public events
• Coordination of public meeting information displays (banners, signs, posters,
boards, etc.) at different public locations
• Obtaining sponsors for events (food, parking, etc.)
• Review and update of project hotline
• Assist in branding efforts
Grassroots Communications and Community Awareness
• Development and maintenance of database and mailing list that includes property
owners, neighborhood associations, homeowner associations, business
associations and organizations, and other major stakeholders
• Create and disseminate information to database subscribers
• Coordination with internal departments for dissemination of public information
• Coordination with departments for internal communications strategy and activities
related to Miami 21, including distribution of materials, assistance with inquiries,
attend meetings to develop relationships

• Outreach and follow up with community organizations for public knowledge and
public meeting information
Media
• . Placement of public notices in community calendars, news media, neighborhood
organizations
• Creation of public service announcements and assist in the distribution of such to
different media outlets
• Outreach and follow up to, media and news outlets (scheduling interviews at all
required media outlets)
• Assistance with media ad buys
• Establish media and community partnerships to divulge information
Miscellaneous
• Maintain communication with Miami 21 lead consultant
• Attend meetings related to Miami 21
• Take meeting notes and post them on the website
• Provide detailed weekly reports of activity
