HomeMy WebLinkAboutcover memoCITY OF MIAMI, FLORIDA INTER -OFFICE MEMORANDUM TO : FROM: The Honorab1 Mayor and Me rro 'the City ommission Jo e' Arriola L1 ief Administrator/City Manager OCT 2 5 2004 DATE : FILE : SUBJECT: REFERENCES: ENCLOSURES: Proposed Resolution - Streetlight Fixtures and Poles Contract Bid No. 03-04-143 RECOMMENDATION It is respectfully recommended that the City Commission adopt the attached Resolution accepting the bid of Miami Electric Supply Associates (Local/Hispanic vendor), located at 5742 S.W. 7th Street, Miami, Florida 33144, for the purchase of streetlight fixtures and poles, on an as -needed contract basis, for a period of two (2) years, with the option to extend for two additional one (1) year periods, in an amount not to exceed $26,738.42 for the first year and an increase not to exceed three percent (3%) for each subsequent year, for a total contract amount not to exceed $111,863.57 (see Award Sheet). Funds are allocated from the Department of General Services Administration Account Code No. 504000.420119.6.707, subject to the availability of funds. BACKGROUND The Department of General Services Administration, Property Maintenance Division, is responsible for the repair and maintenance of 118 decorative streetlight poles and fixtures located in Coconut Grove. On an average, two poles per month need to be repaired and/or replaced due to traffic accidents or vandalism. In addition, this streetlight system has aged and deteriorated poles and fixtures require replacement. The current Streetlight Fixtures and Poles contract is said to expire on January 20, 2005, thus a new contract is necessary to continue providing proper lighting to the Coconut Grove streets. Our citizens, businesses, and visitors will benefit from the security and ambiance that these "colonial motif' lights provide. The Department of General Services Administration has analyzed the bids received pursuant to Bid No. 03-04-143. Sixteen (16) Invitations for Bids were downloaded and two (2) responses were received. Miami Electric Supply Associates submitted the lowest responsive and responsible bid, and is therefore recommended for award. FISCAL IMPACT - NONE JAIA FIT
