HomeMy WebLinkAboutcover memoCITY OF MIAMI, FLORIDA INTER -OFFICE MEMORANDUM 0)01 TO: FROM : Honorable Mayor and Members Of The City Commission oe Arriola l/ Chief Administrator/City Manager DATE: SUBJECT: REFERENCES: ENCLOSURES: JUN 17 2004 Desktop, Server, and Networking equipment, Peripherals and Software Acquisitions FILE : Recommendation It is respectfully requested that the City Commission approve the attached resolution authorizing the City Manager to acquire new and replacement server hardware, personal computers, laptops, communications and networking equipment, electronic storage equipment, printers, computer software, peripherals, and associated consultancy, installation and maintenance services for citywide use from various vendors under current, renewal or replacement State of Florida and/or Western States Contracting Alliance (WSCA) contracts on an as needed contract basis for the Information Technology Department with funds therefore allocated from ITD Strategic Funds, Grants, Law Enforcement Trust Funds, CIP accounts, or the operating budgets of the various user departments in the sum of $975,000 for the Information Technology Department and $2,500,000 for the Miami Police Department for the current fiscal year (fiscal year 2003-04), and from the operating budgets of the various user departments, CIP accounts, IT Strategic Funds, Grants, Law Enforcement Trust Funds, etc., as may be adjusted from time to time by the City Commission in the Annual Appropriations/ Capital Improvements Ordinances, or as otherwise adjusted as permitted by law for subsequent fiscal years without the need for additional City of Miami Commission approval. Background The City of Miami must constantly purchase new and replacement server hardware, personal computers, laptops, communications and networking equipment, electronic storage equipment, printers, computer software, peripherals, and associated installation, consultancy and maintenance services for citywide use in order to build, expand and maintain the technology infrastructure necessary to support the City's Strategic Initiatives, as identified by the City Commission; and to continue operational and support services provided to our citizens and City staff. These components will support vital services, such as: • enterprise applications (General Ledger Financial / Payroll HR / Procurement (ERP) • Police & Fire Dispatch and Reporting • Building and Permitting; Land Management, and Geographic Information Systems • e-mail • Internet and Intranet • security, data backup and business continuity • replacement of obsolete or outdated equipment when conditions make replacement more cost effective than repair. Hardware, Peripherals, and Software Acquisitions Page 2 Furthermore, in many cases technological advancements or changing business needs will provide additional cost savings or business benefits which can only be obtained through the deployment of new infrastructure components. Additionally, the Miami Police Department has the need to replace 400 seven-year old mobile data computers which have reached the end of support life. For the reasons outlined above, the Information Technology and the Miami Police Departments are seeking your approval to acquire this equipment, software and services in the most expeditious and flexible manner possible.
