HomeMy WebLinkAboutcover memoCITY OF MIAMI, FLORIDA 1NTER-OFFICE MEMORANDUM TO : FROM : Honorable Mayor and Memb;is of the Cityion Joe A . a Chief • : inistrator/City Manager DATE: SUBJECT: REFERENCES: ENCLOSURES: MA!'. - 5 2004 FILE : Resolution Authorizing the piggyback of Office Supplies through the State of Florida Bid No. 618-001-04-1 RECOMMENDATION It is respectfully recommended that the City Commission adopt the attached Resolution authorizing the piggyback of State of Florida Bid No. 618-001-04-1, for the provision of Office Supplies, Citywide from Office Depot a Local/Non-Minority vendor located at 2205 S.W. 27 Avenue, Miami, Florida 33145. BACKGROUND The City of Miami requires a company to supply office products that will give prompt and efficient service on a contractual, as -needed, citywide basis. On December 22, 2003, the City of Miami issued an Invitation for Bid (No. 03-04-017) for the provision of Office Supplies. A total of one hundred seventy (170) prospective bidders received the Invitation for Bid ("Bid)". Eight (8) bidders submitted bids. The lowest responsive, responsible bidder was Office Depot. However, after carefully conducting a costs analysis on the commonly purchased office supplies items by the City of Miami and the State of Florida, the analysis revealed that the unit prices offered by Office Depot to the State, under State of Florida Contract No. 618-001-04-1 versus the City, under the City of Miami Bid No. 03-04-017, was significantly less. Similar items listed under both the State contract and City of Miami Bid indicates a cost savings of 30%. The breakdown is as follows: State of Florida= $101,911.68 City of Miami= $ 72,392.64 Savings= $29,519.04 The City can encounter additional savings depending on the volume of office supplies procured throughout the contract term. Therefore, Office Depot is recommended for the award, for the Department of Purchasing to be utilized by various user departments and agencies, allocating funds from fiscal year (FY 2003-04) CIP Accounts, Special Revenue Funds, and/or the operating budgets of various departments and agencies, as may be adjusted from time to time by the City Commission in the annual appropriations/capital improvement ordinances, or as otherwise adjusted as permitted by law.
