HomeMy WebLinkAboutcover memoCITY OF MIAMI, FLORIDA INTER -OFFICE MEMORANDUM TO : FROM : The Honorable Mayor and Members of the ommissio Cry Jo- riola Ch - Administrator/City Manager DATE: SUBJECT: REFERENCES: ENCLOSURES: MAII " 5 2004 FILE : Resolution Authorizing the Procurement of Fleet Vehicles - Citywide Bid No. 03-04-023 RECOMMENDATION: It is respectfully recommended that the City Commission approve the attached Resolution accepting the bids received pursuant to cooperative Bid No. 03-04-023 between the City of Miami and City of Coral Gables, from five (5) vendors, as listed in "Attachment A" and as per attached Tabulation of Bids, for the purchase of fleet vehicles, for the Department of General Services Administration to be used citywide, on an as - needed contract basis, for an initial term of one (1) year with the option to extend for two (2) additional one-year periods. The leading agency on issuing this bid is the City of Miami and the participating agency is the City of Coral Gables. The allocation of funds shall be designated by each agency independently. The City of Miami is allocating the sum of $5,000,000 for the current Fiscal Year (FY 2003-2004) from CIP accounts, Special Revenue funds, and/or the operating budgets of various departments and agencies, as may be adjusted from time to time by the City Commission in the Annual Appropriations/Capital Improvements Ordinances, or as otherwise adjusted as permitted by law. BACKGROUND: The Department of General Services Administration ("G.S.A."), Fleet Management Division, has analyzed the bids received pursuant to cooperative Bid No. 03-04-023. Thirty-four (34) Invitation for Bids were mailed and five (5) responses were received. All five (5) vendors, as listed in "Attachment A", were deemed responsive, responsible and met bid specifications. Awards shall be made based upon the lowest base price bid, when combined with the options selected by the City's user department/agency for a specific item, represents the lowest total cost for that item. G.S.A. maintains the City's general vehicle fleet and has a need to establish a term contract to purchase new or replace existing vehicles, on an as -needed basis. In addition to the general fleet of vehicles, G.S.A. purchases police type vehicles in accordance with the terms set forth in the Labor Agreement between the City of Miami and the Fraternal Order of Police related to the fleet replacement program.
