Miami -Dade County Contract No, 317 Service Request Control Panel The Control Panel is used to set and maintain the definitions, operational parameters, and default values for Service Request Types. The Control Panel is the "behind the scenes" tool that contains the setup and management information regarding the Service Request Types. This form can be accessed from the Overview, Location pull -down menu item. It can also be called from the Service Request Intake or Resolution/Activity forms from an icon in the tool bar. Miami -Dade County Contract No. 317 Reporting The CSR system provides an enterprise -wide look at performance across all departments that use it. CSR increases the accountability of all departments, groups, and personnel through the use of CSR reporting capabilities. CSR offers two different types of reporting. MR APPLICATION DATA MART The underlying data mart is housed and maintained within the production CSR database and consists of a selected number of service request characteristics. These characteristics are limited but can be used in any combination of the where clause of a given SQL query. The Service Request Type represents the customer -configurable description of each service request (e.g., Garbage Pick-up). The Group Name is the name of the group that owns the Service Request Type. The Jurisdiction Name is the name of the jurisdiction that controls the owning group. The Method Received indicates how the service request was taken in initially (e.g., Phone, Web). The service request status code is logically processed to determine both the Simple Status Code and the Duplicate Indicator. An unlimited number of Geographic Area Names and Values can be stored for each service request within the Geographic Information tables in the CSR system; however, only the Primary Geographic Area Name / Value is stored in the data mart. The DML Date is the date and timestamp of the actual transaction within the CSR system. DML simply stands for Data Manipulation Language and represents the class of SQL statements that modify / manipulate data in a relational database (e.g,, update...). This date will be the basis for all charting within MR and is used to aggregate data into Hourly, Daily, Monthly and Annual statistical buckets. MR APPLICATION LAYOUT AND USAGE The MR application consists of a title region with four designated folders that are used to organize the charts within the MR application. The folders are broken down into Hourly, Daily, Monthly and Annual Statistics. The figure below shows an example of the MR application window. Beneath the title region, a listing of the folders runs down the left side of the application with the chart region to the immediate right. Available charts may be displayed by clicking the desired folder link. Once selected the charts that are available to the user within the selected folder are displayed. Charts may be selected for viewing by clicking on the Chart Name link. Once clicked, the chart will be displayed in the chart region on the right side of the MR application shown in the figure below. The overall application flow mimics the application flow of the client -server CSR application that has been proven as a valid model. The application is also structured to offer clients the flexibility of enforcing varying levels of data validation. The general flow of a citizen's interaction with the application is outlined below: Service Request Intake • After clicking on a link from the customer's web site, the Service Request Selection / Keyword Search Form is presented to the citizen. • The Service Request Selection / Keyword Search Form presents the citizen with two explicit means for creating a service request. The first method allows the citizen to choose the service request from a configurable list of service requests that a client has designated to be available via the web. The second method allows the citizen to enter one or more keywords describing the problem or area of concern to perform a keyword search against the available service requests. • Once a service request is selected or a keyword search is performed, a list of applicable service requests is displayed with usage notes to aid the citizen in selecting the correct service request. If a keyword search has been attempted, the third method for creating a service request is presented to the citizen via a link in the page footer. This link allows the citizen to enter a general description of the problem. • If the citizen can identify the desired service request, they click a link to "Request this Service" and are presented with the Location Entry Form. • The citizen completes the Location Entry Form and clicks submit to continue the process and display the Service Request Entry Form. It is at this point that optional location validation can occur within the application. o If validation is turned on, the location is validated once the citizen click the submit button o Non -valid locations prompt the user for a corrected entry which can be a list of valid street names, a list of valid street number ranges, or simply a location confirmation page. Access to the production database is controlled by a database job that has configurable limits on processing intervals and transaction velocity. This server is running the enterprise edition of the Oracle database. The database on the web database server is used to buffer direct transactions against the production database as well as to serve as the repository for the service request configuration rules and location validation information. As service requests are created in the web database server instance, a database job runs at a configurable interval to insert these new service requests into the production instance via the CSR Application Programming Interface (API). These new service requests are pushed to the production instance while the status updates are pulled from production at configurable intervals. The service request configuration rules and location validation information is replicated from the production instance to the web database server instance via proprietary replication routines written specifically for this application. These replication routines are controlled by a database job that runs at configurable intervals. CUSTOMER SERVICE REQUEST MAPPING (OPTIONAL MODULE, SEPARATELY PRICED) The Customer Service Request (CSR) system receives location based information on a daily basis. Abandoned vehicles, flooded basements, busted sewer mains, street light outages, code violations, and many other items are tracked. With the CSR Mapping application, users will be able to plot these occurrences on a digital reference map. Whether it is a map with today's assignments or a historical plot of 6 months of data, the mapping component provides high impact visual information that can be used by everyone. Call takers can have visual validation of an address location. Dispatchers can quickly plan assignments for various service request types using a map of specific geographic areas. Field personnel can use printed maps with assignments annotated for reference to make route planning easy. Managers will be able to graphically uncover and demonstrate problem areas. Service request patterns can be analyzed in the various geographical layers available, such as police districts, council districts, street light grids or trash pickup zones. The tool will allow for spatial analysis to take place within an ESRI ArcSDE repository to extract information pertaining to street addresses, intersections, geospatial layers and object locations. The tool will formulate the data retrieved from the spatial analysis into the predetermined CSR GeoData table formats. A quality control/testing mechanism is embedded to report inaccuracies in the data. The report will reference problematic areas or conflict resolutions to specific areas derived from the spatial analysis. Upon a successful quality control and testing phase the data will then be automatically loaded into the appropriate CSR GeoData tables, for operational mode. The CSR GeoData Import Tool provides data administrators a streamlined approach for the development of CSR GeoData tables.
