ADDENDUM NO. 1
IFB NO. 178149 November 4, 2009
Invitation For Bid (IFB) for Laserfiche Software, Hardware, and Services
TO: ALL PROSPECTIVE BIDDERS:
The following changes, additions, clarifications, and deletions amend the Bid Documents of the above captioned IFB,
and shall become an integral part of the Contract Documents. Words and/or figures stricken through shall be
deleted. Underscored words andlor figures shall be added. The remaining provisions are now in effect and remain
unchanged. Please note the contents herein and reflect same on the documents you have on hand.
The following section of the IFB has been amended as follows:
Section 2.8, Bidders Minimum Qualifications,
(5) Provide at time of bid written documentation demonstrating that at least three (3) successful installations,
along with support and maintenance, of either Laserfiche United, Laserfiche RME, or Laserfiche Avante were
completed for municipalities in the State of Florida. Failure to do so, may deem bidder non-responsive.
(6) Provide at time of bid written documentation demonstrating that at least two (2) municipality -wide
Laserfiche installations, along with support and maintenance, involving process development for the full array
of departments were successfully completed. Failure to do so, may deem bidder non-responsive.
(8) Provide at time of bid written documentation demonstrating that bidder has at leas current) five (5) years
of Laserfiche experience (concurrently, i.e. 2004-2009). Failure to do so may deem bidder non-responsive.
In addition, the Price Sheets for Group 1 have all been updated to reflect an "Estimated Quantity" of 1. The updated
price sheets are located under the Header / Notes and Attachments Section of the IFB, in the Oracle iSupplier system.
Q1. Prospective Bidder has reviewed the City of Miami's Invitation for Bid for Laserfiche Software, Hardware,
and Services and is interested in responding. Prospective Bidder is one of the top ten Laserfiche VARs
in the world and we provide immediate remote support to clients, including dozens of municipalities,
throughout the US and Canada. The bidder minimum requirements section states that the respondent
must have a permanent office in Florida and be able to provide 4 -hour emergency onsite report. Would
the City reconsider those requirements and entertain a bid from a firm that can provide excellent
Laserfiche technical support, consulting, training, and development service onsite upon request and
remotely from offices that are currently based in Wisconsin and California?
Al. The City of Miami will consider bid responses from Laserfiche Value Added Resellers (VAR) located outside of
the State of Florida. Prospective Bidders are reminded that in order to be deemed responsive, documentation
must be submitted at time of bid demonstrating that Prospective Bidder meets the minimum qualifications
listed under Section 2.8 of the (FB and as amended above.
Q2. Is it possible to obtain specific information on the City's current Laserfiche installation, such as the number of
licenses and which (Laserfiche) server software the City is currently running. Also, our firm has filled out all the
information and has been granted access to the City's Oracle iSupplier system, but are there any other steps
our firm must complete before a bid response is submitted?
A2. The City has thirty-two (32) Laserfiche Full version licenses, eighty-four (84) Laserfiche Read version licenses,
and is currently running the Laserfiche United server software, version 8.1.1. The Laserfiche Client versions
are 7.21, 8.01, 8. 1, and 8.1.1. The Server (VM) runs Windows 2003 32-bit, and the workstations operate with
Windows KP.
Q3. With regard to the Certificates of Insurance specified in Section 2.12 of the Special Conditions - Are
these certificates required to be submitted with Bidder's Bid, or subsequent to receiving a Notice of
Award, as specified in the General Conditions 1.48?
A3_ The Certificates of Insurance requested in Section 2.12 of the Special Conditions and Section 1.48 of the
General Conditions are submitted 'Within ten (10) days after receipt of Notice of Award [ J' Therefore,
Prospective Bidders are not required to submit Certificates of Insurance at time of bid submittal.
ALL OTHER TERMS AND CONDITIONS OF THE IFB REMAIN THE SAME.
