Purpose of Item: A Resolution, with attachment(s), authorizing the City Manager to execute an Enterprise Enrollment Agreement, in substantially the attached form, with Microsoft Corporation or its contracting affiliate, for Large Account Reseller for Microsoft Software, Licenses and Maintenance, under existing State of Florida' Contract No. 252-001-09-1, effective until March 31, 2012, subject to further extensions or replacement contracts by the State of Florida, at an estimated first year cost of $570,000.00; with the remaining years subject to cost adjustments based upon the addition of new PC workstations and servers; allocating funds from existing Capital Improvement Project accounts, existing grants, and from the operating budgets of various departments citywide subject to budgetary approval, and the Law Enforcement Trust Fund, as such funds are approved by the Chief of Police and are in compliance with the United States Department of Treasury and Justices, "Guide to Equitable Sharing." Director_ City Manager Pace 1 of 2 AGENDA ITEM SUMMARY FORM Background -Information: The Microsoft Enterprise Enrollment Agreement (EA) is an umbrella software licensing agreement, between Microsoft Corporation, or its contracting affiliate, and the City of Miami, which .allows the deployment of the most current version of Microsoft software products; including, but not limited to: Office Suite (Word, Excel, PowerPoint, Access, Outlook, Internet Explorer, Publisher, and New Meeting), desktop operating system software (Windows XP,Windows Vista and future versions), server operating systems software and applications (e.g., Windows Standard Server, Windows Enterprise Server, SQL, Exchange, Sharepoint etc.) and Client Access Licenses (CALs facilitate desktop interaction with server based software). The Microsoft Enterprise Enrollment Agreement provides volume -pricing benefits with a simpler per unit licensing arrangement. By entering into this agreement with Microsoft, or its contracting affiliate, the City benefits in the following ways: (1) reduction of overall computing costs (including software support and training costs) by standardizing on the same software versions; (2) improvement in information sharing and communications across the organization; (3) consistent platform deployment for custom applications; (4) significant reduction in the financial risks for non-compliance with the licensing; (5) reduction in desktop/server maintenance costs; (6) simplification of the budgeting process for technology software upgrades by providing consistent annual cost per unit; (7) reduction in the costs associated with the procurement process because of the elimination of individual software acquisition; (8) protection to the City from price increases on the listed products for the term of the agreement, and provides volume pricing. The continued use of the Microsoft Enterprise Enrollment Agreement would serve to reduce the overall costs associated with the City's software infrastructure while at the same time ensuring that the City's workforce has access to the latest advancements in software technology. The Microsoft Enterprise Enrollment Agreement is provided by the Microsoft Corporation, or its contracting affiliate under the existing State of Florida Contract No. 252-001-09-1. This agreement will be provided at an estimated total first year cost not to exceed $570,000.00. At the end of the year, a "true -up" audit will be performed and the additional appropriate licensing fee will be paid for the additional machines deployed. Pau 2 of 2
