(305) 445-5331 — 858-5870 IMC r J e 1 Honorable Maurice Ferre Mayor, City of Miami Miami, Florida Dear Mayor Ferre: By this letter the Florida Exporters and Importers Association, Inc. initiates a formal request for assistance by the City of Miami. This request follows -up several recent discussions with Ms. Charlotte Gallogly of the Department of Trade and Commerce Develop- ment of the City of Miami. Additionally, it pursues your remarks at the opening of the Association's mini Trade Fair on April 27, 1982. FEIA is a non-profit association of exporters and importers, it was founded in March 1980 by a group of South Florida businessmen dedicated to improving the image of the Florida exporters and importers with a view towards professionalism in the industry and projecting a world wide image of competence and fair trading. Its goals are to elevate and mantain both the image and reality of competence and professionalism throughout the world community and earn a reputation for fair trading on behalf of the Florida business man ?..G7�,, ,we f I I FLORIDA EXPORTERS & IMPORTERS ASSOC., INC. Page 2 In order to implement these goals, FEIA has embarked on a number of steps to insure high standards of ethics and reputation: 1.- Membership requirements are stringent. In order to qualify for membership, the ap- plicant must maintain updated occupational licenses, a bonafide business address and telephone, which in turn must be supported by bank and credit references. 2.- To keep the membership informed and appraised of the latest developments in the world community, the Association publishes the FEIAGRAM. 3.- In order to project an image to the community at large and attract new members, the Association plans a quarterly journal dedicated to international trade. 4.- In an effort to constantly enhance and upgrade the professional level of the mem- bership, the Association holds educational seminars regularly. 5.- To expand the scope of our influence and markets, the Association sponsors trade fairs with foreign countries such as the fair held in the Summer and Fall of 1981. Page 3 The object of these fairs is to match potential buyers with sellers and to help a overseas neighbors develop their own internal markets with a view towards establish- ing long-term markets and friendships that will endure in the future. 6.- The Association is now embarked in a study whereby the Association seeks to guaran- tee overseas customers monetarily through the medium of a blanket insurance policy insuring fair trading by Association members. The Association has grown from the original 19 members to an organization of over 190 members in two short years and will continue to grow in the future through the contribu- tions of both, time and financial aid of the private sector. To accelerate this process will require a commitment from the City in the form of financial aid with a view towards securing the services of an executive director to oversee day-to-day details of the Association, secretarial staff to assist in a supportive role, and printing of its publication. The Association believes that the assistance of the City of Miami is now more important than ever in developing its image in the world marketplace due to competitive factors, FLORIDA EXPORTERS & IMPORTERS ASSOC., INC. Page 4 0 nationally and internationally, often backed by governmental financial and other support, has heightened the need for this sector to operate on a greater professional and technical level. The specific purpose of this proposal is to acquire a staff and locale to coordi- nate those matters necessary to a structured professional approach to development. We emphasize, at this point, that, although direct services will be to its members, the Association's efforts will provide an overall benefit to the community, including help requested by any persons in the community seeking to enter the international trade busi- ness. By providing this assistance, the City of Miami would benefit in the following respects: 1.- Promoting increased professionalism in the international trade community, which, over the last 20 years, has been a principal source of economic strength for the City. 2.- Promotion of trade out of the City by the direct and indirect activities of the Association members. 3.- An inmediate advisory source for trade matters to the City, in the form of the Association and its members. (305) 888-4551 — 858-5870 •rC t ' t ...Page 5 4.- A point of contact for those persons outside the city seeking information about trade in the area. 5.- A corps of goodwill ambassadors for the city throughout the world, through the travel and contacts of all the Association's members, all dedicated to this area and its continued development. The Association, therefore, respectfully requests the City's assistance in the amount of $ 10,000.00, and concurrently, an additional $ 10,000.00 advance against the City's matching with a half -dollar every dollar of membership dues (new or renewal), other member financial contributions, and other Association income which the Association obtains through June 30, 1983. (305) 888-4551 -- 858-5870 0 I POSITION DESCRIPTION A.- POSITION TITLE: Executive Director B.- GENERAL: The Executive Director is responsible for the general management, administration and the coordination of the affairs of the Association. He is in charge of; and conducts the day-to-day operations of the Association Head- quarters. The Executive Director reports to the President, the Executive Committee, and the Board of Directors. He establishes priorities for actions to be taken and obtains the President's guidance where priorities conflict. FUNCTIONS: 1.- Acts as the central control for receipt, review, and action on all matters, both internal and external, pertaining to the administration of the affairs of the Association. (305) 888-4551 — 858-5870 a 2.- Assists and coordinates with the Association Committee Chairmen, Directors, Vice Presidents, The Executive Committee, and the President on all matters related to the conduct of the business of the Association. These responsibilities include, but are not limited to: a.- Receipt, documentation, deposit and accounting for funds generated by dues payments, programs, donations and any other legitimate sources. Renders periodic financial reports as directed by the President and/or the Treasurer of the Association. b.- Coordinates internal and external activities for the implementation of Programs initiated by the Program Committee. Manages the details and arrange ments for such programs as seminars, general meetings, Director's meetings, business and social functions, etc. Secures facilities by rental, loan, or other arrangements and ascertains readiness for the facilities. Obtains appropriate and timely publicity for all events through the various media including television, radio,newspapers, magazines, news -letters, etc. Arranges preparation and mailings of announcements and invitations, records reservations and implements the various program phases for each event. 14- . (305) 888-4551 — 858-5870 Arranges speaker engagements, supervises all matters connected with the coordination and implementation of programs. Coordinates closely with Program Committee Chairman and reports programs status and problem areas as appropriate. c.- Receives inquiries concerning the Association from potential members and E a from all interested parties, and is the focal point for solicitation of new members. Prepares and distributes standard membership solicitation packages, acknowledgements, renewals, memoranda, membership cards, listings, etc. Maintains and operates a suitable come -up file system to assure effective foi low -up on membership renewals. Promotes membership on a continuing basis with all prospective members that come in contact with the Association. Write letters and make personal contact with other prospective members. Implements special membership dinners designed or suggested by the Membership Committee. Coordinates closely with the Membership Committee Chairman. d.- Is reponsible for the timely preparation and distribution of all publications issued by the Association including, but not limited to, the periodical FEIAGRAM newsletter, the FEIA Quarterly Journal, and the FEIA Directory as FLORIDA EXPORTERS & IMPORTERS ASSOC., INC. (305) 888-4551 — 858-5870 r a well as any special publication that may be required from time -to -time, such as, the FEIA brochure, etc. Solicits advertising for publications, as appropriated from internal or external sources. Solicits articles on timely subjects of interest to the Association membership from appropriate sources,eg recognized officials of government agencies (Commerce, State, etc.), leaders of commerce, industry, shipping and other officials, and qualified experts in international trade, education, the law, etc. Coordinates closely with the Publications Committee Chairman. 3.- The Executive Director is fully involved in budgeting, and implementation of policies, rules, regulations and procedures formulated by the President and the Executive Committee of the Association. He is expected to attend the meetings of the Executive Committee and the Board of Directors. In this request he will set up the meetings, notify members, arrange facilities and amenities and act as recorder. 4.- A calendar of activities will be maintained in a conspicuous location in the Asso- ciation. Handles all mail and requests coming into the Association, prepares letters and other communications, creates, and maintains adequate files and records for the Association. 6.- The Executive Director will represent the Association in all matters delegated to him by the President and will perform all other duties assigned to the position by the President and the Executive Committee.
