A RESOLUTION ACCEPTING TIIE BIDS OF FOUR SUPPLIERS AT A PROPOSED COST OF $893,018.00; REJECTING INDI- VIDUAL BIDS FOR ONE TTEM RECEIVED FROM SIX (6) SUPPLIERS AND AUTHORIZING TIIE PURCHASE FROM POTAMKIN CIIEVROLET, TNC. UNDER A METROPOLITAN DADE COUNTY CONTRACT AT A PROPOSED COST OF $179,488.00, AS INDICATED BE N AND IDENTIFIED ON THE ATTACHED TABULATION OF BIDS, FOR FURNISIiING APPROXIMATELY 128 LIGHT AUTOMOTIVE VEHICLES ON A CONTRACT BASIS TO THE DEPARTMENT OF BUILDING AND VEHICLE MAINTE- NANCE FOR USE BY SEVERAL CITY DEPARTMENTS AT A PROPOSED GRAND TOTAL AMOUNT OF $1,072,466.00; ALLOCATING FUNDS THEREFOR FROM THE 1983-84 OPERATING BUDGETS OF TIIE DEPARTMENTS AS FOLLOWS: BUILDING AND VEHICLE MAINTENANCE - $979,742.00, POLICE - $29,050.00, FIRE, RESCUE AND INSPECTION SERVICES - $34,732.00, FINANCE - $11,577.00 AND THE OFFICE OF INTERGOVERNMENTAL AFFAIRS - $17,366.00; AUTHORIZING THE CITY MANAGER TO INSTRUCT THE PURCHASING AGENT TO ISSUE PURCHAST; ORDERS FOR THIS EQUIPMENT. WHEREAS, the Department of Building and Vehicle Main- tenance is responsible for supplying new and replacement vehicles for use by City Departments; and WHEREAS, pursuant to public notice, sealed bids were received January 16, 1984 for the furnishing of the City's require- ments for Light Automotive Vehicles, including approximately 126 cars, on a contract basis to the Department of Building and Vehicle Maintenance; and WHEREAS, invitations were sent to 47 potential suppliers and 13 bids were received; and WHEREAS, the request was for 12 required vehicle types, and responsible, responsive bids were received for only seven (7)' vehicle types, with one (1) item having no bid conforming to speci- fications and four (4) items having unfavorable bid prices; and WHEREAS, there is a currently effective Metropolitan Dade County Contract for furnishing automobile county -wide, #9700 with Potamkin Chevrolet, Inc. for Subcompact Automobiles; and CITY COMMISSION MEETING or APR 266 1984 RE50LUiwi, i .'C 4-4917 WHEREAS, said firm's contract constitute a responsible and responsive bid that meet the City's specifications for this herein equipment and that results in a cost savings of $22,517.00 over the lowest bids received; and WHEREAS, all equipment purchased herein will be used by the Department of Building and Vehicle Maintenance for the purpose of replacing worn equipment and fulfilling new vehicle requirements for various City Departments; and WHEREAS, funds for this purchase are available in the 1983-84 Operating Budgets of these Departments: Building and Vehicle Maintenance, Police, Fire, Rescue and Inspection Services, Finance, and the Office of Intergovernmental Affairs; and W11ERI"AS , the City Manager and the Director of the Depart- ment of Bui.I.ding and Vehicle Maintenance recommend that the bids received from Jim Peacock Dodge, Inc., Tom Bush Regency Motors, Vesper Management, Inc. and Palmetto Kawasaki. be accepted as the lowest responsible and responsive bids; and WHEREAS, the City Manager and the Director of the Depart- ment of Building and Vehicle Maintenance further recommend that bids for a particular item received from Metro Ford, Inc., Friendly Ford, Inc., Kendall Auto Sales, Inc., Jim Peacock Dodge, Inc., Hollywood Chrysler Plymouth and Tom Bush Regency Motors be rejected and that the purchase from Potamkin Chevrolet, Inc., unde a Metro Dade County Contract be approved NOW, TIiEREFORE, BE IT RESOLVED BY THE COMMISSION OF THE CITY OF MIAMI, FLORIDA: 84-49.. Section 1. That the January 16, 1984 bids, as indicated below and identified on the attached tabulation, for furnishing approximately 97 Light Automotive Vehicles on a Contract Basis to the Department of Building and Vehicle Maintenance for use by several City Departments at a total proposed cost of $ 893,018.00, are hereby accepted with funds therefor hereby allocated from the 1983-84 Operating Budgets of the Departments of Building and Vehicle Maintenance in the amount of $ 863,969.00 and Police in the amount of $29,050.00; as follows: BIDDER EQUIPMENT AMOUNT Jim Peacock Dodge, Inc. 87 Police Pursuit Vehicles $842,438.00 Tom Bush Regency Motors 4 4Dr. Sedan Compact Autos 41,194.00 Vesper Management, Inc. 3 All Terrain Cycles 3,818.00 Palmetto Ka\�asaki 1 Police Motorcycle 5,568.00 PROPOSED TOTAL $893,018.00 Section 2. That the individual bids for thirty one (31) Four (4)-door Subcompacts received from Metro Ford., Inc., Friendly Ford, Inc., Kendall Auto Sales, Inc., Jim Peacock Dodge, Inc., Hollywood Chrysler Plymouth, and Tom Bush Regency Motors are hereby rejected and the purchase of this requirement from Potamkin Chevrolet, Inc., under a Metropolitan Dade County Contract at a proposed cost of $179,448.00, for the Department of Building and Vehicle Maintenance for use by several City Departments is hereby approved with funds therefor hereby allocated from the 1983-84 Operating Budgets of these Departments: Building and Vehicle Maintenance in the amount of $115,773.00, Fire, Rescue and Inspection Services in the amount of $34,732.00, Office of Intergovernmental Affairs in the amount of $17,366.00, and Finance in the amount of $11,557.00. 84-49it 1 Section 3. Pursuant to public notice, thirteen (13) sealed bids were received on January 16, 1984 for furnishing automobiles and motorcycles on a contract basis for one year to the Department of Building and Vehicle Maintenance. This recommendation provides for the replacement of ninety (90) vehicles (automobiles, motorcycles and three -wheel scooters) which are in poor condition, have reached the established replacement cri- teria, or other replacement requirements that may occur throughout the year. Additionally, thirty-eight (38) newly required vehicles are to be included for distribution as follows: - Twenty-seven (27) vehicles to the Department of Police. - Six (6) vehicles to the Department of Fire, Rescue, and Inspection Services. - Three (3) vehicles for the Office of Intergovernmental Affairs. - Two (2) vehicles for the Finance Department.
