ORDER FOR THIS SERVICE.
WHEREAS, pursuant to public notice, sealed bids were
1984 for the furnishing of all,Labor

ceived February 21,
and;Materials for the Duplication of approximately 180,000
Microfiche Records to the Department of Fire, Rescue and
inspection Services; and
WHEREAS, invitations were sent to 27 potential suppliers
and 2 bids were received; and
WHEREAS, funds for this purchase are available in the
Prior Year Reserve Fund; and
WHEREAS, this service will be used by the Department
of Fire, Rescue and Inspection Services for the purpose of
providing a secure back-up set of City building
records, plans
and other documents for the Building Inspection Services; and
WHEREAS, the City Manager and the Director of the
Department of Fire, Rescue and Inspection Services recommend
that the bid received from United Micrographics, Inc. be accepted
as the lowest responsible and responsive bid;
NOW, THEREFORE, BE IT RESOLVED BY THE COMMISSION OF THE
CITY OF MIAMI, FLORIDA:

Ordinance No. 9775 regarding the establishment of a
Minority Vendor Procurement Program to achieve a goal of

expending one-half of the total monies used in obtaining

It is re rcennded that the Award of Bid and a
Resolution be passed accepting the lowest bid
as received from United Micrographics for
duoljqating approximately 180,000 existing
microfiche Jackets of property plans► permits
mm
and related documents at a total cost of
$27,000.00 using Method 2, under which all
Jacketed strips will be reproduced into
Standard Cne-Piece Microfiche.
State law.requires that duplicate sets of mucrofilmd building plans
and do=rents have to be maintained in a safe remote location. The
180,000 microfiche jackets contain microfilm of plans and documents
from approximately 1972 to 1980. The actual plans are Presently
stored in a warehouse with no roam left for further storage and access
of these plans is very difficult.
Duplication of these jackets will allow us to dispose of all hard copies
of plans and documents and the duplicate set of microfilm will require
less roam to store and be mare readily available when needed.
Copies of documents photographed in the microfiche jackets are provided
to property owners, to lawyers when records are subpoenaed, and to
other departments when requested.
Funds for this purchase have been encumbered in a prior year Reserve
Fund.
