HomeMy WebLinkAboutR-88-0207* A * A J-88-212 2- 26-88 RESOLUTION NO. 90-4-207 A RESOLUTION APPROVING THE LEASING OF SEVENTY ( 70 ) ADDITIONAL NEW F I,P(' rR I C GOLF CARS FOR THE MELREESE GOLF COURSE FROM E-'Z-GO DIVISION OF TEXTRON THE VENDOR SUBMITTING THE LOWEST, COMPLETE AND ACCEPTABLE BID PIiRSL1ANT TO HID NO. 86-87-124 FOR THE LEASING OF SEVENTY (70) NEW ELECTRIC GOLF CARS FOR THE MIAMI SPRINGS GOLF COURSE AUTHORIZED BY THE CITY COMMISSION ON DECEMBER 10, 1987 UNDER RESOLUTION NO. 87- 1075 FOR THE DEPARTMENT OF PARKS, RECREATION AND PUBLIC FACILI'rips; PROVIDING THAT THE CITY MANAGER BE AUTHORIZED TO EXECUTE A LEASE AGREEMENT FOR A ONE, -YEAR PERIOD, WITH OPTION TO RENEW FOR FOUR (4) ADDITIONAL ONE YEAR PERIODS, SUBJF,CT TO THE AVAILABILITY OF FUNDS, AT A TOTAL PROPOSED YEARLY COS'r OF $58,548.00; ALLOCATING FUNDS THEREFOR FROM THE 1987-88 GOLF COURSE ENTERPRISE FUND MELREESE ACCOUNT NO. 580201-340; FURTHER INSTRUCTING THE CHIEF PROCUREMENT OFFICER TO ISSUE PURCHASE ORDERS FOR THIS SERVICE. WHEREAS, pursuant to bid No. 86-87-124 the City Commission authorized the lease of seventy (70) new electric cars for the Miami Springs Golf Course, by Resolution No. 86-1075 adopted December 10, 1987 from E-Z-Go Division of Textron the vendor submitting the lowest, complete and acceptable bid pursuant to bid No. 86-87-124; and WHEREAS, as provided in the bid regulations, the City may acquire additional units or fleets under the same prices, terms and conditions; and WHEREAS, the Department of Parks, Recreation and Public Facilities has determined that the present conditions of electric cars at the Melreese Golf Course have deteriorated to the point that they are below acceptable standards; and WHEREAS, funds for this purchase will be available from the 1987-88 Golf Course Enterprise Fund Melreese Account No. 580201- 340; and WHEREAS, it is estimated that this fleet will generate in excess of $135,000 in profits annually, as well as maintain standards in keeping with the stature and reputation of the Melreese facility; and CITY COMMISSION I MEETING OF MAR 100 1988 RESOLUTION No 19-207 lZMARKS: 004 q^ WHEREAS, the City Manager and the Director of the Department of Parks, Recreation and Public Facilities recommend that the leasing of the additional seventy (70) electric golf cars four the Melreese Golf Course be approved; NOW, THEREFORE, BE IT RESOLVED BY THE COMMISSION OF THE CITY OF MIAMI, FLORIDA: Section 1. The acquisition by lease of an additional seventy (70) new electric golf cars for the Melreese Golf Course from E-Z-Go Division of Textron the vendor submitting the lowest, complete and acceptable bid pursuant to Hid No. 86-87-124 for a one year period with the option to renew for four (4) additional one year periods subject to the availability of funds, at a total proposed first year cost of $58,548.00 is hereby accepted with funds therefor hereby allocated form the 1987-88 Golf Course Enterprise Fund Melreese Account Code #580201-340. Section 2. The City Manager is hereby authorized to execute a lease agreement for one (1) year period with the option to renew for four (4) additional one year periods and to instruct the Chief Procurement Officer to issue Purchase Orders for this service subject to the availability of funds. Odio City Manager RECOMMENDATION DATE MAR r _ 1 1999 MLE 13 susJECT Resolution Authorizing Lease of Seventy (70) Replacement Golf Care (Bid No. 86-87-124) REFERENCES ENCLOSURES It is respectfully recommended that the City Commission adopt the attached resolution authorizing the acquisition, by lease, of seventy (70) new replacement electric golf cars for Melreese Golf Course from E-Z-Go, Division of Textron, the vendor submitting the lowest, complete and acceptable bid pursuant to Bid No. 86- 87-124, at a per unit cost of $2.32 per day and a total fleet cost of $58,548 annually. It is further recommended that the City Manager be authorized to execute a lease agreement, in substantially the form attached, as approved by the Law Department, for a one (1) year period with the option to renew for four (4) additional one-year periods, subject to the availability of funds. BACKGROUND The Department of Parks, Recreation and Public Facilities has determined that the present conditions of electric cars at the Melreese Golf Course have deteriorated to the point that they are below acceptable standards and should not be retained through the existing contract, which expires April 18, 1989. This is largely due to the necessary daily towing to a distant storage area and to the present disrepair of cart paths. Both situations are in the process of being corrected. E-Z-Go has agreed to an early termination of the existing contract with no penalty to the City. Upon approval, the present contract will be terminated on March 31, 1988, with the new contract commencing on April 1, 1988. Funds currently encumbered for the existing contract will be transferred to cover the cost of the replacement units. Pursuant to bid No. 86-87-124, the City Commission authorized the lease of seventy (70) new electric cars for the Miami Springs Golf Course, by Resolution No. 86-1075, adopted December 10, 1987. This not only provides for expeditious acquisition, but allows for considerable administrative cost savings in not having to re -bid. it is estimated that this fleet will generate an excess of $135,000 in profits annually, as well as maintain standards in keeping with the stature and reputation of the Melreese facility.
