HomeMy WebLinkAboutR-00-0526• J-00-557 6/14/00 RESOLUTION NO. 11 A RESOLUTION OF THE MIAMI CITY COMMISSION APPROVING THE PROCUREMENT OF RECORDING SERVICES FROM THE CLERK OF THE COURT, MIAMI-DADE COUNTY, FOR THE OFFICE OF HEARING BOARDS, EFFECTIVE THROUGH SEPTEMBER 30, 2000, IN AN AMOUNT NOT TO EXCEED $19,400, FURTHER AUTHORIZING CONTINUED PROCUREMENT OF THESE SERVICES FOR FOUR (4) ADDITIONAL ONE (1) YEAR PERIODS, FOR AN ANNUAL AMOUNT NOT TO EXCEED $25,000; ALLOCATING FUNDS THEREFOR FROM PROFESSIONAL SERVICES ACCOUNT CODE NO. 001000.820101.6.270. WHEREAS, the Office of Hearing Boards requires recording services to fulfill its responsibility to record property liens and documents in the Official Records Book of Miami -Dade County; and WHEREAS, the Clerk of the Court, Miami -Dade County, provides services on an ongoing basis to record Final Administrative Enforcement Orders, Ticket Enforcement Orders for Code Enforcement cases, tickets, recording of releases, cancellations of Code Enforcement and ticket liens, copies of certified documents such as warranty deeds, all relating to Code Enforcement cases; and WHEREAS, the number of code enforcement cases has near doubled from 1999, resulting in a much higher volume of certified copies and documents requiring recordation; and CITY CO SSYOA' MEETING OF IJ U N 2 9 2000 Wsolucion NO. WHEREAS, the City Manager and the Director of the Office of Hearing Boards recommend that the purchase of recording services from the Clerk of the Court, Miami -Dade County, be approved; and WHEREAS, funds are available from Professional Services Account Code No. 001000.820101.6.270; NOW, THEREFORE, BE IT RESOLVED BY THE COMMISSION OF THE CITY OF MIAMI, FLORIDA: Section 1. The recitals and findings contained in the Preamble to this Resolution are hereby adopted by reference thereto and incorporated herein as if fully set forth in this Section. Section 2. The procurement of recording services from the Clerk of the Court Miami -Dade County, for the Office of Hearing Boards, in an amount not to exceed $19,400, effective through September 30, 2000, and the continued procurement of these services for four (4) additional one (1) year periods, for an annual amount not to exceed $25,000, are hereby approved, with funds therefor hereby allocated from Professional Services, Account No. 001000.820101.6.270. Page 3 of 3 i CITY OF MIAMI, FLORIDA CAM INTER -OFFICE MEMORANDUM The Honorable Mayor and Members JUN 14 2000 TO : DATE: FILE of the City Commission SUBJECT: Resolution Authorizing the Procurement of Recording Services FROM: REFERENCES: City Manager ENCLOSURES: RECOMMENDATION: It is respectfully recommended that the City Commission adopt the attached Resolution authorizing the procurement of services from the Clerk of the Court, Miami -Dade County, in the amount of $19,400, for the period of November 1999 through September 30, 2000, further authorizing continued procurement of these services for four (4) additional one (1) year periods, for an annual amount not to exceed $25,000, for the fiunishing of recording services for the Office of Hearing Boards; allocating funds therefor from Professional Services Account Code Number 001000.820101.6.270; authorizing the City Manager to instruct the Chief Procurement Officer to issue a purchase order for said services. BACKGROUND: The Office of Hearing Boards receives services from the Clerk of the Court on an ongoing basis which include recording of Final Administrative Enforcement Orders and Ticket Enforcement Orders for Code Enforcement cases and tickets, recording of releases and cancelations of Code Enforcement and ticket liens, and copies of certified documents such as warranty deeds, all relating to Code Enforcement cases. This year, the volume of code enforcement cases has almost doubled from last year, resulting in an extremely higher volume of certified copies and documents being 'recorded. These services provided to the City from the Miami -Dade County Clerk of the Court are necessary in order to reflect of record all updated property lien status in the Official Records Book of the county of Miami -Dade County. Therefore, based on the above, it is respectfully requested that the City Commission accept the resolution and award same to Clerk of the Court, Miami -Dade County in the amount of $19,400.00, for the period of November 1999 through September 30, 2000, further authorizing continued procurement of these services for four (4) additional one (1) year periods, for an annual amount not to exceed $25,000.00.
