WHEREAS, the Office of the City Clerk requires stenographic equipment and software to replace outdated equipment used to record City Commission meetings; and WHEREAS, pursuant to public notice, Invitation for Bids No. 98-99-184 were mailed to 12 potential bidders; and WHEREAS, two bids were received on October 4, 1999; and WHEREAS, the City Manager and the City Clerk recommend that the bid of Advanced Translations Technology, Inc., be accepted as the lowest responsive and responsible bid; and WHEREAS, funds are available from Lobbyist Registration Account Code No. 110097.220106.6.840; NOW THEREFORE, BE IT RESOLVED BY THE COMMISSION OF THE CITY OF MIAMI, FLORIDA: Section 1. The recitals and findings contained in the Preamble to this Resolution are hereby adopted by reference CITY COMMISSION . REFERENCES: ENCLOSURES: It is respectfully recommended that the City Commission accept the bid from Advanced Translations Tech., Inc. in the amount of $5,025.00 for the furnishing and installation of stenographic equipment and software for the Office of the City Clerk; allocating funds therefore from Lobbyist Registration Account Code No. 110097.220106.6.840; authorizing the City Manager to instruct the Chief Procurement Officer to issue a purchase order for said equipment. BACKGROUND: Pursuant to public notice, sealed bids were received on October 4, 1999, for the furnishing and installation of stenographic equipment and software for the Office of the City Clerk. Invitations to bid were mailed to twelve (12) potential bidders and two (2) bids were received. There currently exists in the Office of the City Clerk a need for modern stenographic equipment, since the stenographer in our office currently uses equipment that has reached technological obsolescence. Subsequent to an analysis by the Procurement Department and the City Clerk's Office, in comparing and reviewing the bids that were received, it was determined that Advanced Translations Tech., Inc. was the lowest and responsive bidder. Such equipment would enable her to stenographically record Commission Meetings, Board Meetings, Public Meetings called by two or more public officials, as well as take in-house dictation, upon request.
