Home My WebLink AboutR-01-0405J-01-334 4/30/01 RESOLUTION NO. 01ft tot A RESOLUTION OF THE MIAMI CITY COMMISSION ACCEPTING THE BID OF ACS IMAGE SOLUTIONS FOR THE ACQUISITION OF MICROFILMING SERVICES FOR THE DEPARTMENT OF POLICE, IN AN ANNUAL AMOUNT NOT TO EXCEED $25,000, ON A CONTRACT BASIS FOR A PERIOD OF TWO YEARS, WITH THE OPTION TO RENEW FOR TWO ADDITIONAL ONE-YEAR PERIODS; ALLOCATING FUNDS FROM THE POLICE GENERAL OPERATING BUDGET, ACCOUNT CODE NO. 001000.290201.6.270. WHEREAS, the Department of Police requires the acquisition of microfilming services to comply with Florida Statutes mandating the preservation and maintenance of public records and the standards set by the Commission on Accreditation for Law Enforcement Agencies; and WHEREAS, pursuant to public notice, Invitation for Bids No. 00-91-073 was mailed to eight potential bidders; and WHEREAS, one response was received on March 21, 2001; and CITY COMM MON XMINO OF MAY 1 n 2001 RaadkAian ANL �j WHEREAS, the City Manager and the Chief of Police recommend that the bid received from ACS Image Solutions be accepted as the only responsive and responsible bid; and WHEREAS, funds are available from the Police General Operating Budget, Account Code No. 001000.290201.6.270; NOW, THEREFORE, BE IT RESOLVED BY THE COMMISSION OF THE CITY OF MIAMI, FLORIDA: Section 1. The recitals and findings contained in the Preamble to this Resolution are adopted by reference and incorporated as if fully set forth in this Section. Section 2. The March 21, 2001 bid received from ACS Image Solutions for the acquisition of microfilming services for the Department of Police, in an annual amount not to exceed $25,000, on a contract basis for a period of two years, with the option to renew for two additional one-year periods, is accepted, with funds allocated from the Police General Operating Budget, Account Code No. 001000.290201.6.270. It is respectfully recommended that the City Commission adopt the attached Resolution accepting the bid of ACS Image Solations, a Non-Minority/Miami-Dade County vendor, located at 5204 N.W. 165 Street, Miami, FL 33014, for the provision of Microfilming Services for the Police Department, for a two (2) year period with the option to extend for two (2) additional one (1) year periods, in an annual amount not to exceed $25,000. Funding is available from the Department of Police General Operating Budget, Account Code No. 001 000.290201.6.270. BACKGROUND The Department of Police has analyzed the bids received pursuant to Bid No. 00-01-073 for the provision of microfilming services. Eight (8) invitations for bid were mailed and one (l) response was received. ACS Image Solations, submitted the only responsible and responsive bid and is, therefore, recommended for the award. The Police Department's ability to have records microfilmed is essential, in order to comply with Florida State Statutes, which mandates the preservation and maintenance of public records and the standards set by the Commission on Accreditation for Law Enforcement Agencies.
